Job Overview
W.C. Construction Company, LLC is looking for an organized and proactive Administrative Assistant to support our team. This role involves handling various administrative tasks, including preparing agreements, managing office supplies, troubleshooting systems, and assisting with client communications. The ideal candidate will be detail-oriented, able to multitask, and provide excellent customer service. If you’re a reliable, independent worker with strong organizational skills, we’d love to have you on our team!
Role & Responsibilities
- Complete company general and various administrative tasks
- Develop Subcontract and Purchase Order Agreements
- Review subcontractor certificates of insurance for compliance
- Assist office manager with maintaining office supplies
- Review company vehicle maintenance monthly
- Troubleshooting with company phone system, internet, company cell phones
- Notarize bid forms and billing forms, if needed
- Coordinate with Durham Office Administrative and other employees on various assigned tasks
- Answer company phone lines and emails from clients in a timely professional manner
- Reporting progress and issues to office manager in a timely manner
- Work with Project Managers on required documents, as necessary
- Update Company Profile/Current/Completed Project Database
- Delivering packages and mail to local post office.
- Occasionally Attend Bid Openings and Bid Meetings, if needed
- Attend Trade Shows/Career Fairs and Setup Marketing Booths, if needed
- Maintaining an organized, neat and safe office area
- Ability to multi-task and work in fast paced environment
- Great customer service and professional communication with subcontractors to foster strong relationships
Qualifications and Education Requirements
- High School Diploma or GED required, with relevant experience in administrative or office support roles.
- Preferred: Associate’s Degree in Business Administration, Office Management, or a related field.
- Notary Public Certification is a plus or must be obtained within 6 months of hire date.

The Contract Administrator is responsible for managing and overseeing all contract-related documentation and compliance for construction projects. This role ensures that contracts are properly executed, tracked, and maintained while coordinating with project teams, subcontractors, and clients to support successful project completion. Strong organizational skills, attention to detail, and contract management experience are essential.
Role & Responsibilities
- Request and Review subcontractor certificates of insurance for compliance
- Prepare, review, and manage contracts, subcontracts, and purchase order agreements
- Draft and distribute Letters of Intent to subcontractors and vendors
- Maintain communication with subcontractors to obtain required documentation in a timely manner
- Attend weekly meetings with Project Managers and the administrative team to provide updates on documentation
- Coordinate with team members on various assigned tasks
- Respond promptly and professionally to company phone lines and client emails, ensuring excellent communication and service
- Maintain and update the company’s Procore system with accurate project and subcontractor information.
- Provide support to subcontractors by addressing Procore-related inquiries and troubleshooting issues.

Role & Responsibilities
- Upload and maintain subcontractor certificates of insurance (COIs) and W-9s for compliance.

- Liaising with vendors, suppliers, and subcontractors to gather pricing information and obtain quotes.
- Conducting cost analysis and exploring cost-saving opportunities through value engineering.
- Preparing comprehensive and competitive bids or proposals for construction projects.
- Tracking and monitoring project costs against the estimated budget.
- Maintaining accurate records of estimates, cost data, and project documentation.

Project Engineer
Role & Responsibilities
- Working closely with Project Managers and Superintendents to coordinate project schedules, resolve issues, and maintain workflow efficiency
- Managing, reviewing, and distributing project documents to ensure accuracy and compliance
- Maintaining vendor and supplier records to support efficient procurement processes
- Overseeing daily on-site activities, ensuring adherence to project schedules and specifications
- Collaborating with designers, owners, and subcontractors to ensure project goals and expectations are met
- Developing and managing project lookahead schedules while ensuring alignment with the master schedule
- Assisting in preparing and tracking RFIs (Requests for Information) and change orders
